Terms and Conditions
Welcome to VIBE! By booking a program with us, you agree to the terms and conditions outlined below. These policies are designed to ensure a smooth and enjoyable experience for everyone.
1. Payment and Booking Policy
Full Payment Required: Payment in full is required at the time of booking to confirm your reservation.
Accepted Payment Methods: We accept payments via credit card, e-transfer, and bank transfer.
2. Cancellation and Rescheduling Policy
We understand that plans can change. Our cancellation and rescheduling policies are as follows:
Programs 3 Days or Less
Cancellations or date changes are permitted up to 14 days prior to the program start date, with a $30 administrative fee per participant.
Cancellations made within 14 days of the program start date are non-refundable.
Participants may transfer their booking to another eligible individual at no additional cost, provided all prerequisites are met.
Programs 4 to 13 Days
Cancellations or date changes are permitted up to 30 days prior to the program start date, with a $75 administrative fee per participant.
Cancellations made within 30 days of the program start date are non-refundable.
Participants may transfer their booking to another eligible individual at no additional cost, provided all prerequisites are met.
Custom Programs
Custom programs have unique cancellation and rescheduling policies. These will be clearly communicated at the time of booking.
COVID-19 Related Cancellations
Participants testing positive for COVID-19 prior to the program may receive a credit toward a future program or reschedule at no additional cost.
If VIBE cancels a program for any reason, including COVID-19, participants may choose between a full refund, rescheduling, or credit.
3. Program Inclusions
Unless otherwise stated, program fees include:
Expert guiding and instruction.
Required permits and certifications.
Technical and safety equipment.
Excluded Costs: Food, transportation, personal gear, and accommodation are not included unless explicitly stated.
4. Participant Responsibilities
We want all participants to have an enjoyable and safe experience. To ensure this, participants must:
Be in good physical health and meet any fitness or skill prerequisites listed for the program.
Arrive prepared with all required personal equipment and clothing as outlined in the trip details.
Notify VIBE in advance of any medical conditions, limitations, or dietary restrictions that may affect participation.
Medical and Waiver Forms: All participants are required to complete and sign a Medical Disclosure Form and a Waiver of Liability before starting any VIBE activity.
Age Requirements:
Participants under 16 years of age require prior arrangements.
Participants under 19 years of age must have written consent from a parent or guardian.
5. Risk Acknowledgment
Outdoor activities involve inherent risks, including but not limited to weather conditions, terrain, and physical exertion.
By participating, you acknowledge these risks and release VIBE, its guides, and instructors from liability.
6. Itinerary Adjustments
To prioritize safety and the quality of the experience, VIBE reserves the right to adjust itineraries due to:
Weather conditions.
Group dynamics or fitness levels.
Other unforeseen factors.
7. Refunds and Compensation
If VIBE cancels a program, participants may choose between:
A full refund.
A credit for a future program.
Rescheduling to a later date.
Note: VIBE is not responsible for additional expenses incurred by participants due to cancellations, such as travel or accommodation costs.
8. Acknowledgment of Traditional Territories
VIBE acknowledges that we operate on the unceded traditional territories of:
Vancouver Island: The Nuu-chah-nulth, Kwakwaka’wakw, and Coast Salish Nations.
Sea-to-Sky Area: The Squamish (Skwxwú7mesh), Lil’wat (Lil̓wat7úl), Musqueam (xʷməθkʷəy̓əm), and Tsleil-Waututh (Səl̓ílwətaɬ) Nations.
We are grateful for the privilege to explore and share these incredible lands with our clients.
9. Evening Seminars and Pre-Program Requirements
Certain programs include an evening session or pre-program meeting. Attendance is an integral part of the learning experience. If you cannot attend, notify us in advance to make alternative arrangements.
10. Governing Law
These Terms and Conditions are governed by the laws of British Columbia, Canada.
